Choosing a Commercial Plumber: A Property Manager's Guide

Commercial plumbing maintenance in progress

Anyone can quote a low hourly rate. What decides your actual annual cost is how many visits it takes to fix something, how much of your day gets lost, and how much you find out afterwards. Here is what to ask.

1. Which licences do you hold, and in which states?

Around Charlotte this matters more than most places. NC and SC license separately, and a contractor with only one cannot legally pull a permit on the other side of the line. If your portfolio spans both, you need one who holds both — or you need two vendors.

2. Can I see current insurance certificates?

General liability and workers' compensation, current, sent the same day you ask. A contractor who has to go and find them is telling you something.

3. What is your actual after-hours response?

"24/7" appears on every website. Ask a specific question: if I call at 10pm on a Saturday, who picks up, and how long until someone is on site? Ask for a reference from a client who has actually tested it.

4. Do you document the buildings you work in?

This is the question that separates a cheap contractor from a cheap year. A plumber who has mapped your shutoffs, cleanouts and equipment arrives and works. One who has not spends the first half hour of every visit — billed to you — finding a valve.

5. Will you track my compliance dates?

Backflow testing deadlines should be your contractor's problem to remember, not yours. If they will not track renewals, you will be the one who gets the notice.

6. Do you carry repair parts, or come back?

Ask specifically about backflow rebuild kits and common commercial fixture parts. A tester who repairs and retests in one visit costs less than one who books a second, whatever the hourly rate says.

7. What do I get after a visit?

A written report — what was found, what was done, what needs watching — is what lets you plan a capital budget instead of reacting to failures. An invoice with three words on it does not.

8. Can you work outside my tenants' hours?

For most commercial work this should be the default, not a favour. The premium on after-hours labour is almost always less than the cost of the disruption.

9. Can you consolidate across my portfolio?

If you run several buildings, one schedule, one invoice and one report pack is worth real money in administration alone.

The pattern behind all nine

Every one is asking the same thing: does this contractor manage the relationship, or do I? The one who tracks your dates, documents your buildings and reports properly costs more per hour and less per year — and takes work off your desk rather than adding it.
